Group Series and Fixed Departures in Southeast Asia: How a DMC Runs Them for Tour Operators

October 14, 2026

A tour group travelling together by coach in Southeast Asia

A group series is the same programme sold again and again: one itinerary, a calendar of departures, and a ground operator who runs every one of them to the same standard. For a tour operator selling Southeast Asia, the series is often the backbone of the brochure, and the destination management company (DMC) behind it decides whether departure twelve feels as good as departure one. DMC Connect runs group-series travel across Thailand, Vietnam, Indonesia, Malaysia, Singapore, Laos, Cambodia and China, exclusively for the travel trade.

Group series, fixed departures and GIR: the terms

The words overlap, and buyers use them differently by market.

  • Group series: a set of departures on one itinerary, contracted in advance, usually sold by one tour operator under its own brand.
  • Fixed departure: a departure on a published date that runs whatever the final group size above an agreed minimum.
  • GIR (group inclusive rate) or seat-in-coach: individual travellers booked onto a shared departure, priced per seat rather than per group.

Whichever model you sell, the ground work is the same: the itinerary has to be built once, costed once and then delivered consistently on every date.

How we run a series for you

Our group tour operation keeps to a flexible approach to each customer's needs while holding delivery quality steady across departures. With each series, partners get access to:

  • Product enhancements: we suggest changes to the route, hotels or experiences as we learn what works on the ground.
  • Exclusive rates: series volume lets us contract rates that a one-off group would not get.
  • On-the-ground feedback: after departures we report back on what guests enjoyed and what slowed the day down.
  • Guide training: our staff are briefed on your brand and product, so your clients hear one voice from booking to arrival.

Sample routes for a first series

Every published itinerary can be adapted into a series. Good starting points:

What to agree before the first departure

A series runs smoothly when these points are settled in the contract, not on the day:

  • Departure calendar: the dates you plan to sell, and which ones are guaranteed.
  • Minimum and maximum group size: per departure, and what happens below the minimum.
  • Release dates: how far before departure unsold hotel rooms and seats go back to suppliers. We confirm these per hotel in the proposal.
  • Guiding language: tell us the language your clients need. Our published itineraries list the guiding language, and we confirm it per departure in the proposal.
  • Inclusions and exclusions: meals, entrance fees, optional tours and tipping policy written the same way on every departure.
  • Peak dates: festival periods such as Songkran in April sell out early, so plan series dates around our seasonality guide.

How booking works

DMC Connect is a B2B destination management company: we work with travel agents, tour operators and corporate buyers and do not sell to the public. A series request follows our four steps:

  • Inquiry & Consultation: send the route, dates and group pattern. A specialist contacts you within 24 hours.
  • Bespoke Proposal: a detailed proposal with net-based pricing.
  • Collaborative Refinement: we refine the programme with you until it fits your brochure.
  • Confirmation & Management: we manage all bookings and provide full trip documentation for each departure.

We are Bangkok-headquartered, licensed by the Tourism Authority of Thailand (TAT 14/04338), an ATTA member (5259), with registered entities in Singapore and Malaysia and more than 15 years of experience. European operators can also read our Southeast Asia DMC page for Europe.

Frequently asked questions

What is a group series in travel?

A group series is one itinerary operated on a calendar of departures, contracted in advance. The tour operator sells it under its own brand and the DMC runs every departure on the ground to the same standard.

What is a release date in group travel?

A release date is the deadline before departure when unsold rooms or seats go back to the supplier without penalty. We confirm the release terms for each hotel in our proposal.

Can you run fixed departures that are guaranteed to operate?

Yes, if the minimum group size and the guaranteed dates are agreed in the contract. Tell us which departures you want to guarantee and we will cost them in the proposal.

Which countries can a series cover?

Any of our eight countries: Thailand, Vietnam, Indonesia, Malaysia, Singapore, Laos, Cambodia and China, alone or combined in one programme.

How do you price a series?

Every proposal uses net-based pricing, so you set your own margin.
